Email hello@leavecast.com and tell us your organisation’s name and what you’re seeing. Most answers are below.
Setting up
- Connect Xero. Sign in to Leavecast with your Xero login and choose your organisation. You need Xero Payroll (Australia). Leavecast only asks for read access.
- Connect Google Workspace. A Workspace super admin adds Leavecast’s client ID under Admin console → Security → Access and data control → API controls → Domain-wide delegation, using the client ID and scopes shown in Leavecast. Then they sign in with Google from Leavecast to prove they’re a super admin of the domain. Changes in the Admin console can take a few minutes to apply.
- Or connect Microsoft 365. A Global Administrator (or Privileged Role Administrator) signs in with Microsoft from Leavecast, then grants Leavecast’s permissions on Microsoft’s consent screen. Then an owner chooses a shared mailbox for the team calendar, which everyone in the organisation can read. Create one in the Microsoft 365 admin center under Teams & groups → Shared mailboxes. People add the calendar in Outlook with Add calendar → Add from directory.
- Connect Slack if you want leave statuses. A Slack admin has to do this, on a paid Slack plan.
- Check People. Leavecast matches each employee in Xero to a Google Workspace or Microsoft 365 account by email. If someone’s Xero email isn’t their work address, set it by hand.
- Turn on the features you want in Settings.
When changes appear
Leavecast checks Xero every 15 minutes for leave that’s new or changed. Press Sync now to check straight away.
Xero doesn’t report leave that’s been deleted, so Leavecast finds deletions in a full check every three hours. Sync now also runs a full check, at most once every ten minutes.
Auto-replies and Slack statuses stay on until the person’s return date, the next weekday after their leave, so leave ending on a Friday is covered over the weekend. Public holidays aren’t counted yet.
Common fixes
“Xero needs reconnecting”
Xero access was revoked or expired. Syncing pauses, and nothing already on calendars is removed. An owner can reconnect from Connections.
Google says Leavecast isn’t authorised
The client ID or a scope is missing from domain-wide delegation in the Google Admin console. While the connection needs attention, Leavecast shows the client ID and scopes under Connections. Check them against the Admin console, wait a few minutes, then choose Re-check access.
Microsoft 365 says Leavecast isn’t authorised
Leavecast’s permissions weren’t granted, or were removed (for example by deleting Leavecast under Enterprise applications in Microsoft Entra). A Global Administrator or Privileged Role Administrator can grant them again with Re-check access, which shows under Connections while the connection needs attention. If your organisation limits apps to some mailboxes, include the team calendar’s shared mailbox and everyone who should get an out-of-office.
Someone isn’t getting an out-of-office or auto-reply
- Check they’re matched to a work account under People, and not excluded.
- If Leavecast matched them by name rather than email, an owner needs to confirm the match under People first.
- Out of office, auto-replies and Slack status are only for full days of approved leave. Part days show on the team calendar only. A day counts as full from 6 hours of leave; if they work shorter days, lower that in Settings.
- If they’ve set their own auto-reply in Gmail or Outlook, Leavecast leaves it alone.
Slack status isn’t changing
Slack only lets an admin’s connection change other people’s status, on paid plans, and only for people with a lower role than the admin who connected Leavecast. Check the Slack match under People too. Leavecast’s status replaces whatever status the person had while they’re away.
Something else
Each organisation has a sync log covering the last 14 days. It lists what Leavecast did and anything that failed, and it’s the best thing to send us.
Who can see and change what
Anyone who connects the organisation from their own Xero login can view it in Leavecast. They lose access once they’re no longer part of the organisation in Xero.
The first person to connect, and the Xero subscriber, are owners. Owners change settings, connections and billing, and can promote or remove other people.
Disconnecting and deleting data
Disconnecting Xero, or letting a trial or subscription end, removes the upcoming team calendar events, out-of-office events, auto-replies and Slack statuses Leavecast created. Disconnecting Google Workspace or Microsoft 365 removes the upcoming events and auto-replies it created there. Disconnecting Slack leaves current statuses to clear themselves when each person’s leave ends. Past leave stays on the team calendar as history.
Thirty days after a trial or subscription ends, Leavecast disconnects from Xero itself and deletes its copy of your Xero data. To come back, subscribe and reconnect Xero.
Disconnecting Xero deletes Leavecast’s copy of your Xero data straight away, and the people Leavecast matched once the clean-up has finished. After that, and once any subscription has ended, an owner can choose Delete organisation data under Connections to remove the rest. See the privacy policy for details.
Then remove Leavecast’s access on your side. Disconnecting stops Leavecast using it, but only your admin can take it away:
- Google Workspace: Admin console → Security → Access and data control → API controls → Domain-wide delegation, then delete Leavecast’s client ID.
- Microsoft 365: Microsoft Entra admin center → Enterprise applications, then delete Leavecast, which revokes the consent your administrator granted.
- Xero: Settings → Connected apps, then disconnect Leavecast if it’s still listed.
If another organisation of yours still uses Leavecast with the same Workspace or Microsoft 365 organisation, leave its access in place: Leavecast says so when you disconnect.
